Guidelines for Presenters
Oral Presentations
The abstracts with the highest scores have been accepted as oral presentations.
An oral presentation is a short part – 10 min incl. discussion time – of an Oral Free Paper Session (12 min including discussion time for the Computational Symposium (CP)).
A powerpoint presentation needs to be prepared and uploaded prior to the congress.
The format for PowerPoint presentations is 16:9.
Please make sure to include a slide indicating any conflict of interest. A template can be downloaded through this website (via button “COI template”).

The congress will deliver prizes for the three best presentations.
In due course, you will be invited to upload your PPT presentation for your oral presentation during the 37th European Congress of Pathology.
Uploads will start in early August and will be possible until 27 August 2025. Please make sure to upload your presentation before the deadline.
Guidelines for OFP Presenters
Preparation of your PowerPoint Presentation
- Store all your files in one folder. Please make sure that videos and your presentation are all in the same folder.
- Avoid creating symbols as graphics or using special fonts that are external to your Microsoft PowerPoint or word processing programme since these might be displayed incorrectly. Instead, always use the ‘Symbol’ function in the ‘Insert’ menu of your programme to insert symbols.
- If using fonts within the presentation, which are not installed on a standard MS Windows 10 computer with MS Office 365, these fonts should be saved as embedded fonts within the final version of the presentation.
- Colours: Use light-coloured fonts for texts on dark backgrounds or vice versa. A strong contrast is important for good legibility.
- Legibility check: On presentation mode, your text should be large enough to be easily legible 1.5 m away from your computer screen.
- Movies should be embedded within a PowerPoint presentation (so that they are part of the PPTX file). Linked movies (mostly in PPT) should be saved as external files to the same folder which contains also the presentation file. Please make sure that a standard Windows 10 computer can play those videos.
- The most common video formats are supported: AVI, MP4, M4V, MOV, MPG, Windows-WMV. The perfect video is a H.264 video in MOV or MP4 format
- Microsoft PowerPoint (up to Microsoft 365) versions for PC can be used. The following presentation formats cannot be handled or uploaded: Prezi, Apple Keynote. Please be aware that presentations made on Macs generally do not run properly on PC. Please visit the Speakers’ Preview Room to check for incompatibilities.
- The format for presentations is 16:9.
- In your presentation, leave appropriate time for discussion and questions from the participants.
- PowerPoint presentations should be uploaded prior to the congress. Speakers will get an invitation e-mail for the upload which will contain further details about the submission process. There is the possibility to upload and check presentations on-site – this needs to be done at least 3 hours prior to the lecture.
Conflict of Interest
Please note that all speakers are expected to disclose any conflicts of interest on a PowerPoint slide to be shown at the beginning of the presentation. A template can be downloaded in the “Resources” section on this website. You will also receive a link to the slide in your invitation for the slide upload.
PowerPoint Template
A special PPT template has been prepared. ESP would love for you to use this template for your presentation. It can be downloaded from the “Resources” section on this website.
Speakers' Preview Room
If you are not able to upload your presentation online prior to the congress, please come to the Speakers’ Preview Room the day before or at least three hours prior to your lecture.
Experienced technicians will capture your PowerPoint presentation (preferably from MS Win 10 compatible USB memory sticks as well as USB hard drives) and store it on the central congress server.
At the Speakers’ Preview Room, you can check and rehearse your PowerPoint presentation.

In the Lecture Room
- Your PowerPoint presentation will be made available in your lecture room via a computer network.
- There will be no possibility to connect your personal notebook in the lecture room.
- Your presentation will be made available on the notebook by a technician.
- From the lectern you will be able to remote control your PowerPoint presentation.
- There will be NO Presenter / Speaker View, which includes speaker notes. (Only the full-screen slide show will be projected to the notebook as well as to the screen.)
- A laser-pointer will be available.
- No changes in your presentation can be made in the lecture room. Changes can only be made in the Speakers’ Preview Room.

Posters
For abstracts which have been accepted as a poster, a physical poster (PORTRAIT STYLE) has to be prepared and brought to Vienna. Posters have to be put up on the designated poster boards (please check the respective put-up times within the below guidelines). A presentation during the poster session (Sunday-Wednesday, 09:30 – 10:30) is mandatory.
Poster sessions will take place in Hall X4 of the ACV.
In addition to the presentation of the physical poster, all poster authors (with registration fee paid) will be invited to upload a digital version of their poster. The digital posters will be uploaded to the E-Poster terminals and can be browsed by delegates during the whole congress.
The congress will deliver prizes for the three best posters.
Please keep in mind that the E-Poster upload is an additional opportunity. It does not replace the presentation of the physical poster. E-Poster upload will be made available in early July and will be possible up until 27 August.

Guidelines for Poster Presenters
Information on Poster Presentations
Poster viewings will be held from Sunday, 7 September to Wednesday, 10 September 2025 in Hall X4 of the ACV.
These sessions offer an effective forum for the exchange of information and a means to communicate ideas, research, and programmes. Poster authors are required to be available for questions and further information at their poster board during the morning session break (09:30 – 10:30).
As an example; Poster Session Dermatopathology → PS-11-005: PS = poster, 11 = session, 005 = abstract.
At this congress, posters will be grouped by topic for the convenience of those attending the sessions. Posters will be changed daily and are on display for the entire day of the respective poster session. They will be sorted by topic and will be numbered within the respective topic.

Mounting and Removal of Posters
Mounting: The day of display between 07:30 and 09:00
Removal: The day of display between 17:00 and 18:00
Posters that have not been taken off at 18:00 will be disposed of.
Optional E-Poster Upload
IN ADDITION to the presentation of their physical poster(s) all abstract authors with their registration fee paid will be invited to upload a digital version of their poster.
Please keep in mind that the E-Poster upload is an additional opportunity. It does not replace the presentation of the physical poster.
E-Poster upload will start in early July. A separate communication will be sent for this.
Poster Format (Physical Poster)
The entire poster can have a maximum size of 208 cm high x 95 cm wide (PORTRAIT style, see image below). The poster does not necessarily have to fill the entire working area.
We recommend to use DIN A0 portrait style (118,9 cm high x 84,1 cm wide).
Material to attach the posters to the poster walls is available at the poster counter in the poster area.
We recommend light paper posters rather than fabric or heavy weight paper posters, in order to make sure that posters don‘t come off the walls.
For the font of your poster, it is recommended to use large, semi-bold letters, at least 5 mm high. The text should be easily legible from a distance of 2 – 3 m.
Poster authors are requested to disclose potential conflicts of interest regarding the poster presentation at the bottom of their poster. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the poster.
Our on-site staff at the poster counter will be happy to answer any questions you might have.

E-Posters
Abstracts which have been accepted as E-Posters, need to be uploaded digitally.
Only those authors who have paid their registration fee will be invited to upload their E-Poster.
E-Posters are available at the E-Poster terminals throughout the congress. There will be no specific presentation time.
An E-Poster template is available for download in the “Resources” section on this website.
E-Poster upload will be possible starting early July and up until 27 August.

E-Poster Format
- All E-Posters must be submitted in pdf format (dimensions: 28,562 cm width x 50,8 cm height).
- Your E-Poster is limited to one page.
- All E-Posters must be submitted in PORTRAIT A template is available on the congress website.
- The preferred file formats for images are JPEG or PNG. Please be mindful of any copyright issues when creating your poster.
- Video files (AVI, WMV, MPG, MP4) are permitted. Video files need to be uploaded separately and should not be embedded.
- The file size should not exceed 50MB.
- Font restrictions: Only Arial, Verdana, Tahoma and Times New Roman are accepted.
- Font size recommendations – headings should be between 30-40 pt and content 12-18 pt.
- All financial support for the work and collaboration must be acknowledged as part of the poster.
E-Poster Upload
E-Poster upload will start in early July. A separate communication will be sent for this in due course.
